What we collect
We collect only what we need to review your rental application:
- Your name, date of birth, email address and phone number
- Your current and previous addresses, and landlord contact details
- Employment or income details, and any income documents you choose to upload
- The references, landlords and employers you list, so we can verify what you told us
- A photo of a government-issued ID
- Your SSN or ITIN — optional, and only if you choose to provide it
Your SSN or ITIN is optional
You can submit a complete application without it. If you do provide it, it is used only to order a screening report where one is needed. It is sealed in your browser’s submission using public-key encryption and stored in a form this website cannot read back: opening it requires a separate private key that is not kept on the server, and doing so is a deliberate, logged action.
How we use it
We use your information to review your application, verify what you have told us, run screening where applicable, and communicate with you about the application. We do not sell your information, and we do not use it for advertising.
Who we share it with
We share your information only where it is necessary to process your application:
- A consumer reporting agency, if we order a credit or tenant screening report — and only with your separate written authorisation
- The landlords, employers and references you listed, so we can verify what you told us
- Where the law requires it, or to establish or defend a legal claim
We do not sell your information, share it with data brokers, or pass it to anyone else without your permission.
How it is protected
- Uploaded files
- Your ID and any supporting documents are encrypted at rest with authenticated encryption (libsodium secretbox). They are never stored as plain files on disk.
- SSN or ITIN
- Sealed with public-key encryption (a libsodium sealed box). The website holds only the public key, so it can store a new value but cannot open it. Reading one requires a private key kept off the server.
- In transit
- The whole application is served over HTTPS, with strict transport security enforced.
- Who can see it
- Only signed-in staff of this business can view applications. Every decision and disclosure is written to an audit log.
How long we keep it
Every application is flagged for a retention review one year after it is submitted. At that review we delete applications we no longer need for a legal or business reason. You can ask us to delete yours sooner — see below.
Getting a copy, or asking us to delete
You can ask for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. Write to the address below and we will respond within a reasonable time. Some information may need to be retained where the law requires it.
